Terms of Service

These Terms of Service govern your use of the Tables HQ platform. By subscribing or using the service, you agree to these terms. Please read them carefully. 1. Definitions

In these terms:

  • "Tables HQ", "we", "us", "our" refers to Atelier Software Ltd, a company registered in England and Wales (Company No. 17298011), whose registered office is at 71–75 Shelton Street, Covent Garden, London WC2H 9JQ.
  • "Service" means the Tables HQ restaurant management platform, including the web application, APIs, and related infrastructure.
  • "Customer", "you", "your" means the restaurant operator or business subscribing to the Service.
  • "User" means any individual (including staff members) granted access to the Service under your subscription.
  • "Subscription" means the recurring licence to access the Service, as described in Section 3.

2. The Service

Tables HQ provides a cloud-based restaurant management platform covering floor plan management, kitchen display, reservations, ordering, guest CRM, payments integration, and reporting. The Service is provided on an "as is" basis, with reasonable efforts to maintain availability and security.

Managed hosting is included in all subscriptions. Tables HQ hosts, maintains, and updates the platform on your behalf. Self-hosted deployments are available on request and are subject to a separate arrangement.

Hardware is not included. A Stripe Terminal card reader is required for in-venue card payments. Optional hardware such as thermal receipt printers is the Customer's responsibility to procure.

3. Subscriptions and Billing

Plans

Subscriptions are offered on the following tiers, priced by venue capacity:

  • Intimate — up to 40 covers
  • Salon — up to 70 covers
  • Grand — up to 120 covers
  • Enterprise — single venue of 120+ covers
  • MultiSite — two or more venues, priced per site

All features are included in every tier. Tiers differ only by venue capacity and the level of support provided.

Billing cycle

Subscriptions are billed monthly or annually in advance. Annual subscriptions receive the equivalent of two months free compared to the monthly rate. Prices are shown on the Pricing page and may be updated from time to time with reasonable notice.

VAT

Fees are exclusive of VAT, which will be added at the applicable rate where chargeable. Atelier Software Ltd is not currently VAT registered, so no VAT is charged on subscription fees at this time; this position will be reviewed as required by law.

Setup fee

A one-time setup fee of £399 per site applies. This fee is waived for customers taking three or more sites simultaneously, and for customers joining under the Founding Partner Programme (see Section 4).

Payment processing

Subscription payments are processed by Stripe. Card payment processing for in-venue transactions (via Stripe Terminal) is billed directly by Stripe at their standard card-present rates, separate from the Tables HQ subscription fee. Tables HQ does not mark up Stripe's transaction fees.

WhatsApp notifications

If you enable WhatsApp guest communications, message costs are charged separately via Twilio and are not included in your subscription fee.

4. Setup Period and Founding Partner Programme

Every new subscription, on any plan, begins with a 4-week no-cost setup period. During this time we configure your floor plan, import your menu, set up your booking schedule, and run live service tests with your team. Billing does not begin until this setup period is complete.

Founding Partner Programme. A limited number of Salon and Grand plan customers may join as Founding Partners. Founding Partners receive an additional 2 weeks of live service trial on top of the standard 4-week setup period (6 weeks in total before billing begins), 50% off the standard subscription rate for their plan locked for 24 months from the date billing begins, and the setup fee waived. Founding Partner terms are agreed in writing at the time of signing and are subject to availability.

Tables HQ reserves the right to modify or end the Founding Partner Programme at any time for new sign-ups, without affecting the terms already agreed with existing Founding Partners.

5. Acceptable Use

You agree to use the Service only for lawful purposes and in accordance with these terms. You must not:

  • Use the Service to process, store, or transmit unlawful data or content
  • Attempt to gain unauthorised access to the Service, other customers' data, or our infrastructure
  • Resell, sublicense, or distribute the Service to third parties without our written consent
  • Reverse-engineer, decompile, or attempt to extract the source code of the platform
  • Use the Service in a manner that degrades performance or availability for other customers

We reserve the right to suspend access immediately if we reasonably believe a breach of this section has occurred.

6. Data and Privacy

You retain ownership of all data entered into the Service, including guest data, reservation records, and order history. Tables HQ processes this data on your behalf as a data processor under UK GDPR.

Our Privacy Policy explains how we handle personal data. A Data Processing Agreement (DPA) is incorporated into these Terms by reference and is available on request.

You are responsible for ensuring you have a lawful basis to collect and process the personal data of your guests and staff that you enter into the Service, and for providing appropriate privacy notices to those individuals.

Upon termination of your subscription, your data is retained for 90 days to allow for recovery and export, after which it is deleted or anonymised. Retention of your operational data (including financial records) during an active subscription is configurable by you within the platform; you are responsible for configuring retention periods that satisfy any legal obligations applicable to your business.

7. Intellectual Property

Tables HQ and all associated software, design, trademarks, and documentation remain the exclusive intellectual property of Tables HQ. These terms do not grant you any rights in the Tables HQ name, logo, or platform beyond the limited licence to use the Service as described here.

You grant Tables HQ a non-exclusive, royalty-free licence to store, process, and transmit your data solely as necessary to operate the Service for you. Tables HQ will not use your data to train machine-learning or AI models, build benchmarks, or for any purpose beyond delivering the Service to your organisation.

8. Availability and Support

We aim to maintain high platform availability but do not guarantee uninterrupted service. Planned maintenance will be communicated in advance where possible.

Support levels vary by tier:

  • Intimate — onboarding call and email support
  • Salon — onboarding call, 30-day check-in, email and live chat
  • Grand — dedicated onboarding, email, live chat, and phone support
  • Enterprise / MultiSite — dedicated onboarding and training, priority support with dedicated response times, custom feature prioritisation

9. Limitation of Liability

To the maximum extent permitted by applicable law, Tables HQ shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, revenue, data, goodwill, or business interruption, arising from your use of or inability to use the Service.

Our total aggregate liability to you for any claim arising under or in connection with these terms shall not exceed the total subscription fees paid by you in the six months preceding the claim.

Nothing in these terms limits liability for death or personal injury caused by negligence, fraud, or any liability that cannot be excluded or limited under applicable law.

10. Termination

By you

You may cancel your subscription at any time by emailing info@tableshq.com. Cancellation takes effect at the end of the current billing period. No partial refunds are issued for unused time within a billing period, except where required by law.

By us

We may suspend or terminate your access immediately if you breach these terms, fail to pay subscription fees after reasonable notice, or if we reasonably suspect illegal activity. We may also terminate the Service with 60 days' notice if we decide to discontinue it.

Effect of termination

On termination, your access to the Service will cease. Your data will be retained for 90 days during which you may request an export. After 90 days, data is deleted or anonymised.

11. Changes to These Terms

We may update these Terms of Service from time to time. We will notify you of material changes by email at least 30 days before they take effect. Your continued use of the Service after that date constitutes acceptance of the revised terms. If you do not agree to the changes, you may cancel your subscription before they take effect.

12. Governing Law and Disputes

These terms are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from these terms or your use of the Service shall be subject to the exclusive jurisdiction of the courts of England and Wales.
