Your Agreement, in Plain English

This is a friendly summary of our SaaS Agreement, written to help you understand what you're signing before you read the full legal document. It's not a substitute for it — if anything here ever seems to say something different from our signed Terms of Service and Data Processing Agreement, those documents are what actually apply, not this page. Nothing here changes or adds to your legal rights or obligations.

What you're getting

Tables HQ is a complete restaurant management platform: floor plan and table management, a kitchen display system, reservations, online and in-venue ordering, invoicing, reporting, and a guest CRM — all in one subscription, replacing the need to stitch together separate booking, POS, and KDS systems.

How pricing works

You pay a flat monthly subscription based on your plan (Intimate, Salon, or Grand, depending on your restaurant's size — Enterprise and MultiSite are tailored quotes for larger or multi-venue operations) — no per-cover or per-booking charges. See our Pricing page for current rates.

Every plan starts with a 4-week no-cost setup period — we configure your floor plan, menu, and booking schedule, and run live tests with your team, before any billing begins.

If you're joining as a Founding Partner (a limited offer on Salon/Grand plans only):

  • You get those same 4 weeks, plus 2 extra weeks of live service trial — 6 weeks in total — to run the system alongside your existing tools, all at no cost.
  • After that, if you're happy, billing starts at 50% off standard pricing, locked in for 24 months, with your setup fee waived.
  • If it's genuinely not working for you after those 6 weeks, you can walk away — no charge.

What we promise (and what we don't)

We aim for 99% uptime each month and put real effort into keeping the system fast and reliable — but we're upfront that this is a target we work hard to hit, not a guaranteed, contractually-insured service level with automatic refunds if we occasionally fall short (that kind of formal guarantee usually comes with the much higher price tag of an enterprise-grade platform, and isn't something we think is right to promise at this stage).

We don't currently promise a specific response time in writing on every plan, but as a small, hands-on team, you'll generally hear back from a real person quickly rather than a ticket queue.

Your data is yours

Everything you put into Tables HQ — your guest records, reservations, orders, menus, invoices — belongs to you, not us. We just process it on your behalf to run the service. If you ever leave, we'll help you export your data and then delete it, as set out in our Data Processing Agreement.

We never sell your data, and we're specific (not vague) about who else touches it: the platform runs entirely on UK-based servers with FastHosts, your card payments go through Stripe, WhatsApp messages (if you turn that feature on) go through Twilio, transactional emails go through Postmark, and encrypted database backups are additionally stored off-site with PeaSoup Cloud — also UK-based — for disaster recovery. If something ever goes seriously wrong

Like any software company, we ask for a cap on how much we could ever be liable for if something goes badly wrong — set at 6 months of the fees you've paid us. We think that's a fair, honest number for a company our size, rather than promising unlimited compensation we couldn't actually stand behind. We also can't be held responsible for things genuinely outside our control, or for problems caused by third-party services we don't operate ourselves (though we're still responsible for choosing them carefully).

Ending the agreement

  • Either of us can walk away with 30 days' written notice, for any reason.
  • We can end it immediately only for serious issues — like a material breach that isn't fixed within 14 days of us flagging it, or if either of us becomes insolvent.
  • You keep control of your data throughout — see "Your data is yours" above.

Who owns the software itself

The Tables HQ platform, its code, and its features belong to us (Atelier Software Ltd) — you're licensed to use it during your subscription, not buying a copy of the software itself. This is completely standard for any SaaS product and doesn't affect your ownership of your own restaurant's data in any way.
